What Is the Voiply AI Assistant?
This article explains what the Voiply AI Assistant is, what it does when a call is missed, and how each of its features works.
A smarter way to handle missed calls so your team never loses an important message, even when they are unavailable.
When a team member misses a call, the Voiply AI Assistant steps in. Instead of sending the caller to a plain voicemail, the AI Assistant picks up with a friendly voice, handles the conversation, and makes sure the right person gets the message right away.
It is off by default and can be turned on for each person on your account individually so only the team members who need it will have it active.
📋 Overview: What Happens When a Call Is Missed
When the AI Assistant is turned on for a user, here is what happens every time they miss a call:
- The AI Assistant picks up and greets the caller
- It handles the conversation based on how it has been set up
- It takes a message and emails it to the right person in real time
- Every message is flagged as Urgent, Normal, or Low/Spam so your team knows what to prioritize
- It also remembers callers who have reached out before
The only thing required to get started is an email address for where messages should be sent. Everything else is optional.
🚨 Routing: Handling Urgent Calls
Not every missed call can wait until morning. The AI Assistant can recognize when a call is genuinely urgent and act on it right away.
When an urgent call comes in, the AI Assistant does a warm transfer, it tells you who is calling before connecting you, so you are never caught off guard. If you do not pick up, it falls back to taking a message. No call bounces more than once.
You can also set up custom routing rules for specific callers, for example, sending your most important contacts straight to your cell phone instead of leaving a message.
💬 Answers: Teaching the Assistant What to Say
You can teach the AI Assistant how to handle the questions your callers ask most often. For each question, you choose what the assistant does:
- Speak an answer — the assistant says the answer out loud to the caller
- Text a link — the assistant sends the caller a text with a helpful link
- Collect details for a callback — the assistant gathers the caller's information so your team can follow up
This means callers get helpful responses right away, even when no one is available to pick up.
🎓 Training: Coaching the Assistant to Sound Like You
The Training tab lets you give the AI Assistant plain instructions about how you want it to behave. You can tell it things like:
- How formal or casual to sound
- What your business hours are
- What your business does
- Specific preferences, like using a caller's first name instead of their full name
You can also test the assistant from this tab to hear how it responds before any real callers experience it. Testing checks answers and tone, it does not run your call routing rules or send any real transfers or texts.
📅 Integrations: Connecting Your Calendar
The AI Assistant can connect to your calendar so it can check your availability and book appointments right on the call. The following calendar integrations are available:
- Google Calendar
- Outlook / Microsoft 365
- Apple iCloud
Once connected, the AI Assistant can check when you are free and book a meeting type of your choice, all without any back-and-forth.
📞 Calls: A Full Log of Every Handled Call
The Calls tab keeps a record of every call the AI Assistant has handled. For each one, you can:
- See the date, time, and length of the call
- Play back the call recording
- Read a summary of what was said
This makes it easy to stay on top of what your callers needed, even when you were not available to take the call yourself.
✅ Helpful Tips
- The AI Assistant is off by default. It needs to be turned on separately for each person who wants to use it. Go to Features > AI Assistant in your portal to get started.
- After turning it on, wait a few minutes before testing a missed call — the AI line needs a moment to register with the phone network first.
- The more you train your assistant — with answers, coaching, and calendar access — the better it handles calls on its own.
- Messages are emailed in real time, so your team always has the latest information waiting for them.
